Chaosium Con Europe 2026

§1 Terms and conditions

Organizer: Black Monk Michal Lisowski, ul. Kościelna 24/11, 60-538 Poznań, NIP: 6972063712, REGON: 301266890 (further referred to as the Organizer).
Each participant of the Chaosium Con Europe 2025 (further referred to as “Chaosium Con EU”) by buying or receiving a ticket or an entrance pass accepts these regulations and at the same time undertakes to comply the terms of these regulations.
All participants of Chaosium Con EU are obliged to read, accept and follow the content of these regulations. Failure to do so cannot be the basis for any claims against the Organizer, and/or his employees and subcontractors.
Participants who do not comply with the regulations may be removed from Chaosium Con EU’s area without a refund of the ticket or entry pass and other possible costs.
The regulations are available:

2. at the registration office.
Chaosium Con EU takes place at:
1. Dwór Uphagena ARCHE, located at Prof. Kieturakisa 1, 80-742 Gdańsk
2. from 29th October to 1st November 2026.
Participants are responsible for making their own hotel reservations. For those who wish to book accommodation at Dwór Uphagena, a discount is available Reservations should be completed through the hotel’s website: https://www.archedworuphagena.pl/ (discount code: Chaosium2026).
A presale ticket is exchanged for an ID badge. Only participants holding such an identifier may participate in Chaosium Con EU.
Each participant is obliged to carry their identifier in a visible place. Deliberate removal, tearing or other damage done to the identifier may result in not being allowed to enter the premises of Chaosium Con EU, or being removed from them. In the event of loss of the identifier, one should report to the registration help desk in order to purchase a new ticket in a value of $123 (one hundred twenty three dollars) including VAT. Transfer of the ID badge to individuals other than participant named on the badge is strictly forbidden and may result in removing both individuals/participants from the Chaosium Con EU without refund.
Participants without the identifier on them will be shown out by the security team.
Because of security reasons, Organizers and security team have a right to check the luggage and other personal belongings with respect to privacy.
The organizer is not responsible for damages incurred by participants on the body, property and the mind.
Organizers are not responsible for any damages and harm caused by third parties or by participants, especially due to breaking the law or these regulations.
Organizers are not responsible for any damages and harm caused by any terrorist attacks or force majeure (like fire, explosion, thunderstorm, wind, flood.
Those who suffer from chronic diseases, allergies and etc., are obliged to have their own medication and to have valid information about their health condition, disease, and any problems regarding potential treatment.
The injured and the sick treated at the emergency medical assistance point will be required to present an ID and/or passport and/or school ID.
Throughout the duration of the event underage participants are required to have on them and be able to present at the entrance the parent’s or legal guardian’s phone number, as well as consent for participation in Chaosium Con EU. The consent form will be emailed to participants before the event starts.
The Organizer is not responsible for the items left unattended or lost.
It is forbidden to enter Chaosium Con EU while carrying:
1. any weapons, as defined in the current Weapons and Ammunition Act of Poland;
2. ammunition to weapons mentioned above;
3. melee weapons, except for knives, training weapons with blunt edges, and so-called safe LARP weapons – all if they are carried in a safe way for other participants
4. Explosives;
5. drugs, toxic, malodorous or flammable substances.
During Chaosium Con EU, it is forbidden to point weapons or any dangerous tool at other participants, unless they consented to it (e.g. while posing to photos).
Chaosium Con EU’s participants are obliged to keep its premises- both inside and between the Convention buildings- clean and tidy.
On the premises of Convention and hotels alcohol consumption is allowed only in specificated and designated places.
It is forbidden to smoke within Chaosium Con EU’s premises. Smoking is allowed only in designated space.
It is forbidden to possess and use any drugs and psychotropic substances within ChaosiumCon EU’s premises.
Please note: all kind of soft or hard drugs, including cannabis is illegal in Poland and you will be prosecuted for possession and/or use of these.
Participants under the influence of alcohol, other drugs and psychotropic substances may be removed from Chaosium Con EU’s premises.
Each participant must behave properly and follow the decisions of the Organizer. Any complaints against the decisions of the Organizer may be submitted to the Convention Directors – their decision is final. In the case of an argument between Chaosium Con EU’s participants, the determining authority is the Managing Director, whose decision is final.
The Organizer is not liable for the damage caused by participants. The perpetrators are liable (therein financially) for any damage.
All advertising materials, the presence of which on the convention was not agree with the Organizer of the convention will be removed from Chaosium Con EU’s premises, along with their distributors. These people will be charged with the cost of remediation of possible damage resulting from their actions,
Curfew is imposed in specified areas in the hotel wing between 24:00. and 6:00 a.m. Those who sleep in the hotel rooms, are required to behave in good manners and keep the place – and themselves – clean and tidy.
People who run program points (further referred to as Lecturers) are obliged to leave the lecture rooms in the state, in which they found them. In the event of gross damage to the room upon it being passed on, the Lecturers are obliged to immediately notify the Organizers.
Contest prizes take the form of phisical rewards. Rewards will not be exchanged for money.
Those who help in preparation and conducting Chaosium Con EU can’t take part in competitions and tournaments that take place during the convention. In addition, if a contest or a tournament is organized by entities or organizations other than the Organizer, the representatives and employees of such entities and organizations cannot participate in contests and tournaments organized during ChaosiumCon EU.
On the premises of Chaosium Con EU it is not permitted to duplicate any products protected by copyright and trade their illegal copies.
The Organizer is not liable for and does not identify with the opinions expressed by the Participants (including the Lecturers) during the convention.
It is strictly forbidden to conduct political activities within the premises of Chaosium Con EU, in particular election campaigns and political canvassing. Those, who do not comply with this rule, will be removed from the premises of the convention.
Each participant on the area of Chaosium Con EU and hotels consents and agrees to Organizers recording of his/her image, likeness, and voice and its royalty-free use in connection with any commercial use, transmission or publication in any media worldwide, including online, Convention websites and social channels, press releases and in Convention marketing and promotional materials. Participants agree Convention shall forever be the exclusive owner of all copyright and other rights in and to any such recordings, photographs, and other materials related to the Convention. Participant acknowledges and agrees Organizers may edit, mix, arrange, cut, use or re-use, in whole or in parts, all such recordings, photographs and other materials related to the Convention and his/her waives any right to inspect or approve of the edits, final products or usage. Participant grants Convention permission to use his/her name and statements, with or without attribution, related to the Convention in any media worldwide. Participant understands and hereby waives his/her right to any form of compensation and all legal claims, including for libel, slander, invasion of privacy, and copyright infringement, related to the Convention and its use.
Each participant must treat other participants with respect. Physical or verbal abuse might result in the removal from the convention and reporting the abuser to the authorities. The full description of rules against harassment can be found on the website: www.ChaosiumCon.eu
Please note: ChaosiumCon EU is being held in a historic building, due to the technical and architectural limitations of Uphagen Manor. As a result, Organizers may not be able to provide full access for participants with disabilities.
All commercial and marketing materials must be approved by Chaosium Con EU Organizers in writing or email otherwise they will be removed from the premises on their owner costs.
All sales or solicitation must be approved by Chaosium Con EU Organizers in writing or email otherwise violators will be removed from the premises on their owner costs without ticket refund.
Event schedule posted on Chaosium Con EU website is information only and is subject to change without prior notice. Any changes may not be a reason for ticket or accommodation refund for participants.
Due to a high amount of participants, some of the scheduled activities may have participant limits. Organizers give no participation guarantee, in such case, it may not be a reason for ticket or accommodation refund for participants.
Organizers guarantee the safety of the event only in case all participants respect rules of Chaosium Con EU and Polish Code of Law.
If any issues are not listed in these regulations, the Polish Code of Law and hotel facilities regulations apply.
Organizers reserve a right to change these regulations without prior notice.

§2 Payments

The entity providing online payment services for card transactions is Autopay S.A.
In the event that a refund is required for a transaction made by the customer using a payment card, the seller will issue the refund to the bank account associated with the Customer’s payment card.

§3 Privacy Policy

The Controller of the personal data provided by the Customer while using the Store is the Organizer.
The Customer’s personal data is processed primarily on the basis of the contract and for the purpose of its execution, in accordance with the principles set out in the General Data Protection Regulation (GDPR) of the European Parliament and the Council (EU). Detailed information regarding the processing of data by the Seller can be found in the privacy policy available in the Store.

§4 Refunds Policy

The regulations for returning purchased tickets. According to regulations in Article. 38 Point 12 of Polish Law “Consumers Rights Act” (Dz.U.2017.0.683 t.j. – Ustawa z dnia 30 maja 2014 r. o prawach konsumenta) Chaosium Con EU event ticket refund is not possible. All sales are final.
Ticket resale by participants or unathorized ticket transfer is forbidden and organizers bare a right to cancel such ticket without refund.

§5 Complaints Policy

Complaints related to the organisation and conduct of the Event should be submitted to the Organizer by e-mail, to the address contact@chaosiumcon.eu
A complaint should include:

the first and last name of the person lodging the complaint;
an e-mail address;
a description of the irregularities observed.

The Organizer undertakes to respond to the complaint within 14 (fourteen) days from the date of its receipt. Failure to respond within the aforementioned time limit shall be tantamount to accepting the complaint. A Participant who is a consumer may use out-of-court complaint handling and redress mechanisms. Detailed information on the possibility for a consumer Participant to use out-of-court complaint handling and redress mechanisms and on the rules of access to these procedures is available at the offices and on the websites of county (municipal) consumer ombudsmen, social organisations whose statutory tasks include consumer protection, the Provincial Inspectorates of Trade Inspection, as well as on the website of the Office of Competition and Consumer Protection (www.uokik.gov.pl). A consumer Participant may also use the online dispute resolution (ODR) platform available at http://ec.europa.eu/consumers/odr/.

§1 Regulamin

Każdy uczestnik Chaosium Con Europe 2025 (dalej zwany „Chaosium Con EU”) poprzez zakup lub otrzymanie biletu lub wejściówki akceptuje niniejszy regulamin i zobowiązuje się do jego przestrzegania.
Wszyscy uczestnicy Chaosium Con EU są zobowiązani do zapoznania się z treścią regulaminu, jego akceptacji i przestrzegania. Nieprzestrzeganie regulaminu nie może być podstawą do jakichkolwiek roszczeń wobec Organizatora, jego pracowników i podwykonawców.
Uczestnicy, którzy nie przestrzegają regulaminu, mogą zostać usunięci z terenu Chaosium Con EU bez zwrotu kosztów biletu lub wejściówki oraz innych poniesionych kosztów.
Regulamin jest dostępny:

2. w biurze rejestracji.
Chaosium Con EU odbywa się w:
1. Dwór Uphagena ARCHE, ul. Prof. Kieturakisa 1, 80-742 Gdańsk
2. w dniach od 30 października do 2 listopada 2025 r.
Uczestnicy są odpowiedzialni za dokonanie rezerwacji hotelowych we własnym zakresie. Dla osób chcących zarezerwować nocleg w Dworze Uphagena dostępny jest rabat. Rezerwacji należy dokonać poprzez stronę internetową hotelu: https://www.archedworuphagena.pl/ (kod rabatowy: Chaosium2025).
Bilet zakupiony w przedsprzedaży jest wymieniany na identyfikator. W Chaosium Con EU mogą uczestniczyć tylko osoby posiadające taki identyfikator.
Każdy uczestnik jest zobowiązany do noszenia identyfikatora w widocznym miejscu. Celowe usunięcie, rozerwanie lub inne uszkodzenie identyfikatora może skutkować zakazem wstępu na teren Chaosium Con EU lub usunięciem z niego. W przypadku utraty identyfikatora należy zgłosić się do biura rejestracji w celu zakupu nowego biletu w wysokości 123 USD (sto dwadzieścia trzy dolary) z VAT. Przekazywanie identyfikatora innym osobom jest surowo zabronione i może skutkować usunięciem obu osób z Chaosium Con EU bez zwrotu kosztów.
Uczestnicy bez identyfikatora będą usuwani przez ochronę.
Ze względów bezpieczeństwa Organizatorzy i ochrona mają prawo sprawdzić bagaż i inne rzeczy osobiste z poszanowaniem prywatności.
Organizator nie ponosi odpowiedzialności za szkody doznane przez uczestników na ciele, mieniu lub psychice.
Organizatorzy nie ponoszą odpowiedzialności za szkody i krzywdy spowodowane przez osoby trzecie lub uczestników, w szczególności w wyniku złamania prawa lub regulaminu.
Organizatorzy nie ponoszą odpowiedzialności za szkody i krzywdy spowodowane atakami terrorystycznymi lub siłą wyższą (taką jak pożar, eksplozja, burza, wichura, powódź).
Osoby cierpiące na choroby przewlekłe, alergie itp. są zobowiązane posiadać własne leki oraz aktualne informacje dotyczące swojego stanu zdrowia, chorób i ewentualnego leczenia.
Osoby poszkodowane lub chore, korzystające z punktu pomocy medycznej, będą zobowiązane do okazania dowodu tożsamości i/lub paszportu i/lub legitymacji szkolnej.
Niepełnoletni uczestnicy podczas wydarzenia są zobowiązani posiadać przy sobie numer telefonu rodzica lub opiekuna prawnego oraz pisemną zgodę na udział w Chaosium Con EU. Formularz zgody zostanie wysłany do uczestników przed rozpoczęciem wydarzenia.
Organizator nie ponosi odpowiedzialności za przedmioty pozostawione bez opieki lub zgubione.
Zabrania się wnoszenia na teren Chaosium Con EU:
1. broni, zgodnie z obowiązującą Ustawą o Broni i Amunicji w Polsce;
2. amunicji do ww. broni;
3. broni białej, z wyjątkiem noży, broni treningowej o tępych krawędziach oraz bezpiecznej broni LARP – pod warunkiem, że są one noszone w sposób bezpieczny dla innych uczestników;
4. materiałów wybuchowych;
5. narkotyków, substancji toksycznych, cuchnących lub łatwopalnych.
Podczas Chaosium Con EU zabrania się celowania bronią lub niebezpiecznym narzędziem w innych uczestników, chyba że wyrazili oni na to zgodę (np. podczas pozowania do zdjęć).
Uczestnicy Chaosium Con EU są zobowiązani do utrzymania czystości na terenie wydarzenia – zarówno wewnątrz budynków, jak i pomiędzy nimi.
Spożywanie alkoholu jest dozwolone wyłącznie w wyznaczonych miejscach na terenie wydarzenia i hotelu.
Na terenie Chaosium Con EU obowiązuje zakaz palenia. Palenie jest dozwolone tylko w miejscach do tego wyznaczonych.
Zabronione jest posiadanie i używanie narkotyków oraz substancji psychotropowych na terenie Chaosium Con EU.
Przypominamy: wszelkiego rodzaju narkotyki miękkie i twarde, w tym konopie indyjskie, są w Polsce nielegalne i ich posiadanie lub używanie podlega ściganiu.
Uczestnicy będący pod wpływem alkoholu, narkotyków lub substancji psychotropowych mogą zostać usunięci z terenu Chaosium Con EU.
Każdy uczestnik zobowiązany jest do właściwego zachowania i stosowania się do decyzji Organizatora. Skargi na decyzje Organizatora można kierować do Dyrektorów Konwentu – ich decyzja jest ostateczna. W przypadku sporu między uczestnikami Chaosium Con EU ostateczną decyzję podejmuje Dyrektor Zarządzający.
Organizator nie ponosi odpowiedzialności za szkody spowodowane przez uczestników. Sprawcy ponoszą pełną odpowiedzialność, w tym finansową, za wszelkie wyrządzone szkody.
Materiały reklamowe, których obecność na konwencie nie została uzgodniona z Organizatorem, będą usuwane wraz z ich dystrybutorami. Osoby te zostaną obciążone kosztami naprawy ewentualnych szkód wynikłych z ich działań.
W określonych częściach skrzydła hotelowego obowiązuje cisza nocna w godzinach od 24:00 do 6:00. Osoby nocujące w pokojach hotelowych są zobowiązane do kulturalnego zachowania oraz utrzymywania czystości pomieszczeń i siebie.
Osoby prowadzące punkty programu (dalej zwane Prowadzącymi) zobowiązane są pozostawić sale prelekcyjne w takim stanie, w jakim je zastały. W przypadku stwierdzenia poważnych zniszczeń Prowadzący mają obowiązek niezwłocznego poinformowania Organizatorów.
Nagrody w konkursach mają formę nagród rzeczowych. Nie podlegają one wymianie na gotówkę.
Osoby pomagające w przygotowaniu i prowadzeniu Chaosium Con EU nie mogą brać udziału w konkursach i turniejach odbywających się podczas wydarzenia. Ponadto, jeśli konkurs lub turniej jest organizowany przez podmioty inne niż Organizator, ich przedstawiciele i pracownicy również nie mogą w nich uczestniczyć.
Na terenie Chaosium Con EU zabrania się kopiowania produktów chronionych prawami autorskimi oraz handlu ich nielegalnymi kopiami.
Organizator nie ponosi odpowiedzialności za opinie wyrażane przez uczestników (w tym Prowadzących) podczas wydarzenia i nie utożsamia się z nimi.
Surowo zabronione jest prowadzenie działalności politycznej na terenie Chaosium Con EU, w szczególności kampanii wyborczych i agitacji politycznej. Osoby łamiące ten zakaz zostaną usunięte z terenu wydarzenia.
Każdy uczestnik przebywający na terenie Chaosium Con EU i hotelu wyraża zgodę na nagrywanie swojego wizerunku, głosu i jego bezpłatne wykorzystywanie w celach komercyjnych, transmisjach lub publikacjach w dowolnych mediach na całym świecie, w tym online, na stronach internetowych i kanałach społecznościowych wydarzenia, w materiałach prasowych oraz marketingowych i promocyjnych konwentu. Uczestnicy zgadzają się, że Organizator wydarzenia będzie jedynym właścicielem praw autorskich i innych praw do tych nagrań, zdjęć i materiałów. Uczestnicy zrzekają się prawa do wglądu, zatwierdzania edycji czy gotowych materiałów, jak również prawa do jakiejkolwiek rekompensaty lub roszczeń prawnych związanych z ich wykorzystaniem.
Każdy uczestnik jest zobowiązany do okazywania szacunku innym uczestnikom. Przemoc fizyczna lub werbalna może skutkować usunięciem z wydarzenia oraz zgłoszeniem sprawcy odpowiednim służbom. Pełny opis zasad dotyczących przeciwdziałania nękaniu znajduje się na stronie: www.ChaosiumCon.eu
Uwaga: Chaosium Con EU odbywa się w zabytkowym budynku, dlatego ze względu na ograniczenia techniczne i architektoniczne Dworu Uphagena Organizatorzy mogą nie być w stanie zapewnić pełnej dostępności dla osób z niepełnosprawnościami.
Wszelkie materiały handlowe i marketingowe muszą zostać zatwierdzone na piśmie lub mailowo przez Organizatorów Chaosium Con EU, w przeciwnym wypadku zostaną usunięte na koszt właściciela materiałów.
Wszelka sprzedaż lub akwizycja musi zostać zatwierdzona na piśmie lub mailowo przez Organizatorów Chaosium Con EU, w przeciwnym wypadku osoby naruszające ten przepis zostaną usunięte z terenu wydarzenia na własny koszt i bez zwrotu biletu.
Harmonogram wydarzenia zamieszczony na stronie Chaosium Con EU ma charakter informacyjny i może ulec zmianie bez wcześniejszego powiadomienia. Zmiany te nie stanowią podstawy do zwrotu kosztów biletów ani zakwaterowania uczestników.
Z powodu dużej liczby uczestników niektóre zaplanowane aktywności mogą mieć ograniczoną liczbę miejsc. Organizatorzy nie gwarantują udziału w każdej aktywności, a brak miejsca nie stanowi podstawy do zwrotu kosztów biletu ani zakwaterowania.
Organizatorzy gwarantują bezpieczeństwo wydarzenia tylko w przypadku przestrzegania przez wszystkich uczestników regulaminu Chaosium Con EU oraz przepisów prawa polskiego.
W kwestiach nieuregulowanych w niniejszym regulaminie zastosowanie mają przepisy prawa polskiego oraz regulaminy obiektów hotelowych.
Organizatorzy zastrzegają sobie prawo do zmiany niniejszego regulaminu bez wcześniejszego powiadomienia.

§2 Płatności

Podmiotem świadczącym obsługę płatności online w zakresie płatności kartami jest Autopay S.A.
W przypadku konieczności zwrotu środków za transakcję dokonaną kartą płatniczą, sprzedawca dokona zwrotu na rachunek bankowy przypisany do karty płatniczej klienta.

§3 Polityka Prywatności

Administratorem danych osobowych przekazanych przez klienta podczas korzystania ze Sklepu jest Organizator.
Dane osobowe klienta przetwarzane są głównie na podstawie umowy i w celu jej realizacji, zgodnie z zasadami określonymi w ogólnym rozporządzeniu Parlamentu Europejskiego i Rady (UE) o ochronie danych (RODO). Szczegółowe informacje dotyczące przetwarzania danych przez Sprzedawcę znajdują się w polityce prywatności dostępnej w Sklepie.

§4 Zwroty

Regulamin zwrotu zakupionych biletów. Zgodnie z przepisami art. 38 pkt 12 Ustawy o prawach konsumenta (Dz.U.2017.0.683 t.j. – Ustawa z dnia 30 maja 2014 r. o prawach konsumenta) zwrot biletów na Chaosium Con EU nie jest możliwy. Wszystkie sprzedaże są ostateczne.
Odprzedaż biletów przez uczestników lub ich nieautoryzowane przekazanie jest zabronione, a organizatorzy mają prawo anulować taki bilet bez zwrotu kosztów.

§5 Reklamacje

Reklamacje związane z organizacją i przebiegiem wydarzenia należy składać do Organizatora drogą mailową na adres: contact@chaosiumcon.eu
Reklamacja powinna zawierać:

imię i nazwisko osoby składającej reklamację;
adres e-mail;
opis zauważonych nieprawidłowości.

Organizator zobowiązuje się odpowiedzieć na reklamację w ciągu 14 (czternastu) dni od daty jej otrzymania. Brak odpowiedzi w tym terminie jest równoznaczny z akceptacją reklamacji. Uczestnik będący konsumentem może skorzystać z pozasądowych sposobów rozpatrywania reklamacji i dochodzenia roszczeń. Szczegółowe informacje dotyczące możliwości skorzystania z pozasądowych procedur oraz zasad dostępu do tych procedur są dostępne w biurach i na stronach internetowych powiatowych (miejskich) rzeczników konsumentów, organizacjach społecznych zajmujących się ochroną praw konsumentów, Wojewódzkich Inspektoratach Inspekcji Handlowej oraz na stronie Urzędu Ochrony Konkurencji i Konsumentów (www.uokik.gov.pl). Konsument może również skorzystać z platformy internetowego rozstrzygania sporów (ODR) dostępnej pod adresem http://ec.europa.eu/consumers/odr/.
